Declarations of Ultimate Beneficial Owners (UBO*) :
*UBO = Ultimate Beneficial Owner.
Once these documents have been completed, you will receive an automatic e-mail from HiPay to activate your account.
In the event of any misunderstanding concerning the declaration, we refer you to the article written by HiPay.
If you encounter any difficulties in completing the declaration, HiPay also provides an article to help you fill in the form.
When you fill in the required information, please make sure that you record it correctly so that you can proceed to the next beneficial owner:
If you have finished filling in all the beneficiaries, you must certify this declaration so that it can be checked by HiPay.
Once saved, you will receive a notification at the top of the page to let you know that the declaration has been saved:
Why has my declaration been rejected, and what should I do?
The declaration of beneficial owners may be rejected for a number of reasons, detailed below.
Situations | Comments | Action |
Declaration not made | Please declare your beneficial owners | Please declare all persons considered as BO*. |
The merchant declares that he has no BO, whereas there is one on the RBO*. | Please declare the persons indicated on the RBO | Please declare all persons listed on the RBO. |
Expired ID | Please provide us with a valid ID | Please provide a valid ID card or passport for the BO*. |
Incorrect declaration | Please declare the persons entered on the RBO as identical. | The BO(s) declared by the merchant are different from the persons entered on the GBR. You will be asked to correct your declaration and to enter the persons shown on the RBO. |
Incomplete declaration | Please declare all persons indicated on the RBO | The merchant has declared one or two people as BO when there are more on the GBR. You are requested to declare all persons on the RBO. |
*RBO: register of beneficial owners
*BO: beneficial owners
In addition to the UBO comments, if the RIB is rejected for non-compliance, the comment concerning this rejection is also visible in the “bank info” tab.
For all other rejections other than UBOs, comments are placed directly in the relevant tabs. For example: if the Kbis is rejected, the comment on this rejection is visible in the “company number (physical or legal)” tab.
In the event of a problem with your KYC :
You may encounter problems with your KYC if they are incompatible. If you feel you cannot resolve the issue yourself, it is important to open a ticket with the Marketplace team so that they can contact HiPay support and provide additional information.
HiPay's turnaround time for verifying documents is approximately one day. In the event of a bad KYC import, it must be deleted and then uploaded again from the Mirakl space. It will be automatically synchronized on HiPay every four hours.
Warning:
- KYCs must not be imported too quickly when the store is created, otherwise the coins will not be imported into HiPay. If this happens, you'll need to delete them and import them again.
- When you import a new KYC in order to replace one that is currently being validated, the import will not run and you will need to contact support to open a ticket with HiPay.
- In the payment tab, it is important to import the “Bank Account” document after the IBAN has been entered in your KYC. Otherwise, you'll need to fill in the IBAN in your account, then delete and upload the Bank Account KYC again.
