What documents do I need to provide to validate my KYC ?

Before you can collect payments from your sales, your account must be verified by HiPay, Alltricks' payment partner. This article covers the documents to provide, how to declare your ultimate beneficial owners, and what to do if your file is rejected.

Upload my KYC documents in Mirakl

Upload your documents from Settings > Shop > the My account tab, Documents section, at the bottom of the page. Four documents are required:

  1. Proof of identity — a two-sided copy of a valid ID (passport or national ID card) for the legal representative. This representative must be one of the ultimate beneficial owners.
  2. Company registration certificate (KBIS) — issued less than 3 months ago.
  3. Signed articles of association — stating the distribution of powers, the exact registered office address, the official company name, and the legal representative's name.
  4. Bank details (IBAN) — in the company's name, not a personal account, unless you have sole trader (auto-entrepreneur) status.

Files must be in JPEG, JPG, or GIF format, up to 5 MB per file.

⚠️ Important
Don't upload your KYC documents too quickly when creating your account. Upload the Bank Account document only after you have entered and saved your IBAN in your Mirakl shop.

Declare my ultimate beneficial owners (UBO)

As soon as your documents are uploaded, HiPay sends you an automatic email to activate your account and declare your ultimate beneficial owners (UBO). Three rules to follow:

  1. Register each beneficial owner individually before moving to the next one.
  2. Confirm the final declaration to submit your file for compliance review.
  3. A notification confirms your declaration was registered successfully.

Resolve a rejected KYC file

The average review time is about 1 business day. If your file is rejected, the compliance review tells you what's wrong:

To fix a rejected document, delete it in Mirakl and upload the new version.

Mirakl and HiPay sync every 4 hours, so your updated document status won't appear instantly.

In short

  • Upload the 4 KYC documents (ID, KBIS, articles of association, bank details) as JPEG/JPG/GIF, 5 MB max.
  • Upload your bank details only after saving your IBAN in Mirakl.
  • Declare your beneficial owners one by one, then confirm the final declaration.
  • If rejected, delete the document and re-upload it; allow up to 4 hours for sync.
